Admissions and Cancellation Policy

Admissions Policy

Registration Process: All attendees must complete the registration process through ESI’s official website or designated platform. Registrations will be considered valid upon receipt of payment or confirmation of participation, as specified for each event. 

Event Attendees: The majority of ESI events are open to business professionals only. Exceptions include: students purchasing student tickets, and occasional sub-events that are targeting the B2C sector. The exceptions will be clearly specified as at the time of purchase. 

  • Age Restrictions: Certain events may have age restrictions or requirements at all or part of our events. Attendees must adhere to the specified age criteria mentioned in the event description. ID may be required for admission. Failure to produce this if necessary may result in lack of admission with no refund, at the organiser’s discretion.
  • Confirmation: Upon successful registration, attendees will receive a confirmation email or notification containing event details, including date, time, venue, and any specific instructions.
  • Entry Requirements: attendees must present valid identification or any other required documents for entry to the event venue. Failure to provide necessary documentation may result in denial of entry. Any person found to be registering to attend or attempting to attend ESI events using false information or credentials or deliberately withholding information will have their application or entry automatically denied and may be liable to prosecution. 
  • Code of Conduct: Each attendee is required to comply with ESI’s Code of Conduct for its events which is located here: [https://esportsinsider.com/code-of-conduct]. ESI as organiser reserves the right to exclude any person(s) at any time if found to be in breach of the Code of Conduct. In addition, the organiser reserves the right to exclude or remove anyone from the event or venue who does not comply with this policy or who the organiser reasonably considers are likely to be non compliant.
  • Ticket Transferability: If you are unable to attend the event, ESI welcomes substitute delegates attending in your place at no additional cost. For security reasons, all requests for substitutions must be received via email to [email protected] at least 24 hours before the event with the name, job title and contact email for both the registered and replacement delegates.
  • Changes will become effective on the date of written confirmation by ESI and all data processed in connection with this request shall be subject to ESI’s Privacy Policy.
  • Late Arrivals: Late arrivals will be admitted to the event. However, latecomers may miss out on certain content or workshops of the event depending on your arrival time.

Cancellation Policy

  • Event Cancellation by ESI: In the event of cancellation due to unforeseen circumstances such as natural disasters, pandemics, government regulations, or other unavoidable reasons, the organiser reserves the right to cancel, postpone, or reschedule the event whereupon ESI shall transfer the attendee’s ticket to the next edition of the event in question hosted by ESI.

Cancellation Request by Attendee – Paid for events: ESI shall provide a refund to any attendee who makes a request in writing no less than 14 days before the scheduled event. ESI reserves the right to deduct a small administrative charge for processing the refund request of no more than 5%. Refunds processed in accordance with this clause may take up to 14 days post the date of the scheduled event to be credited to the card or bank account from which the original ticket price was paid. Any cancellation and refund request which is received less than 14 days prior to the scheduled event may be refused by ESI, in ESI’s sole discretion. 

Cancellation Request by Attendee – Free Events: ESI requests and appreciates if an attendee informs ESI as soon as possible in writing if you wish to cancel any places at our free events. We reserve the right to restrict bookings from companies who have a record of persistent no-shows.

No Shows: If, for whatsoever reason, an attendee or its delegates do not turn up for the event on the day of the event (a “no show”) this shall be considered a cancellation. The full amount for entry shall be deemed earned  for your place and a refund will not be given.

Partial Refunds: In certain cases, partial refunds may be issued based on ESI’s discretion and the circumstances surrounding the cancellation request.

  • Transferability of Cancellations: Cancellation requests may not be transferable to other events unless explicitly permitted by ESI. Attendees are encouraged to contact the organiser directly for inquiries regarding transferability of cancellations.
  • Communication: All communication regarding event cancellations, rescheduling, or refund processes will be conveyed promptly to registered attendees through email, official website announcements, or other designated communication channels.

CCTV at our events: Closed Circuit Television Cameras (CCTV) are likely to be in operation at all times during our events. The organisers and/or the venue reserve the right to deliver the CCTV videotapes to the Police or another competent authority as evidence if requested to do so. The contents of such videotape may be used as evidence in a court of law. 

Filming at our events: The organisers reserve the rights to film/permit approved third party filming across the show open days of events. By attending the show, attendees  permit the organisers and approved third parties to use any footage taken.

Canvassing: is not permitted at our events.

Intellectual Property: All film or photography taken at events by attendees constitutes the intellectual property of the organisers (ESI) and cannot be used or broadcast without ESI’s prior permission. The organisers retain the right to remove anyone from the event, should they be seen photographing or filming in prohibited areas.

Compliance: By registering for our events, attendees acknowledge that they have read, understood, and agreed to abide by the terms and conditions outlined in this Admissions and Cancellation Policy. ESI reserves the right to modify or update this policy as necessary, with any changes communicated to attendees by updating our website with the latest version.

Events Operator: All events are brought to you and delivered by Esports Insider Limited or one of any of those companies from time to time within the group of companies owned wholly or partially by Sports Betting Community Limited (registered company number 07914010) (‘Group Company‘). Esports Insider Limited may at any time assign, transfer, novate, subcontract or delegate any or all of its rights and or obligations in whole or in part under these terms and conditions (including the ability to collect payment) to any Group Company.
